We are committed to fostering a positive and accommodating environment for all our members. To ensure fairness and smooth operations, we have established the following policies regarding class cancellations, memberships, pauses, and no-shows.
Class Cancellation Policy
Cancellation Deadline:
- Members must cancel a booked class at least one hour before the scheduled start time to avoid losing their session on that day.
- Early Morning Classes: For 6:30 AM classes, cancellations must be made before 10 PM the night before.
- Class Booking: Members are encouraged to book classes in advance through the WODBoard app. Classes can be booked up to one week in advance.
- Class Minimum Attendance: If no members are booked into a class, it will be cancelled one hour before the scheduled start time. We encourage all members to book in advance to secure their place.
Membership Types & Cancellation Policy
1. Unlimited (Rolling Monthly)
- Billing: Automatically renews each month on the 1st.
- Notice Period: One month’s written notice is required, in line with our billing cycle (1st of each month).
- Cut-Off Date: To avoid being charged for an additional month, you must submit the cancellation form by the last day of the month.
- Notice Start: Your one-month notice will begin on the 1st of the following month, and your membership will end on the final day of that month.
Examples:
- Submit form on July 31 → Notice starts August 1 → Membership ends August 31
- Submit form on August 1 → Notice starts September 1 → Membership ends September 30
- Payments: All payments are non-refundable.
2. 10 Classes a Month (Rolling Monthly)
- Billing: Automatically renews each month on the 1st.
- Notice Period: Same as Unlimited — one month’s written notice, with the notice starting on the 1st of the following month.
- Unused Classes: Do not roll over to the following month.
- Payments: All payments are non-refundable.
3. 12-Month Contract
- Commitment: Minimum term of 12 consecutive months.
- Billing: Payable as a lump sum at the time of joining.
- Cooling-Off Period: You have a 7-day cooling-off period from the purchase date, during which you can cancel and receive a full refund, provided the membership hasn’t been used.
- Post Cooling-Off Cancellation: After the cooling-off period, no refunds will be issued for any reason.
End-of-Term Options: At the end of your 12-month term, your membership will automatically continue unless you:
- Continue on the same plan
- Downgrade to a different plan
- Cancel your membership
Notice Requirement: If you do not wish to continue on the same plan, or you wish to downgrade or cancel, you must submit the relevant form (Cancellation or Membership Change) at least one month before the end of your contract term.
- Notice Start: Notice always starts on the 1st of the following month after the form is submitted.
- Holds: Membership holds/pauses are not available on this contract.
Examples:
- Contract ends December 31 → Submit form on November 30 → Membership ends December 31 (or downgrades January 1).
- Contract ends December 31 → Submit form on December 5 → Notice starts January 1 → Membership ends January 31 (or downgrades February 1).
Membership Plan Changes
- Form Submission: All requests to change your membership plan must be submitted via the official Membership Change Form, available on our website.
- Cut-Off Date: To avoid additional charges, the form must be submitted by the last day of the month.
Upgrades:
- Upgrade to Unlimited Plan (£90/month) takes effect immediately.
- You will be charged a pro-rated amount for the remainder of the current billing month.
Downgrades:
- Downgrade to 10-Session Plan (£75/month) requires one full month’s written notice.
- The Membership Change Form must be submitted by the last day of the month.
- Downgrades take effect from your next billing cycle.
General Conditions for All Memberships
- All cancellation requests must be submitted via the official Membership Cancellation Form on our website.
- Cancellations cannot be backdated.
- Pausing does not replace the cancellation notice requirement — if you cancel during a pause, your notice will start from the date the cancellation is received.
- Returning members will be charged at the current rates at the time of rejoining.
- It is the member’s responsibility to be aware of these terms, which are available on our website and in this agreement.
Membership Pause
- If you need to pause your membership, we offer holds in 1 or 2-month blocks at £25 per month, for up to 3 months per year.
- Pause Request: Submit the pause request form by the last day of the month. Late requests will be processed after your next scheduled payment.
- All pause requests must be submitted via the official Membership Pause Form.
- Eligibility: Holds are available after completing 2 full months of membership.
- Pause Start Date: Mid-month pause requests will take effect on the 1st of the following month.
- Membership Extension: Your membership term will be extended by the length of the pause.
- Using the Gym During Pause: If you use the gym during the pause, your membership will be reactivated, and regular charges will resume.
- Cancellation During Pause: If you wish to cancel during the pause, a one-month written cancellation notice is still required, and the notice period will begin after the pause ends. Cancellations must be submitted using the official Membership Cancellation Form, available on our website.
Example:
- Membership paused for September → Cancel on September 20 → Notice starts October 1 → Ends October 31
Additional Policies
- Changes to Policy: We reserve the right to amend this policy at any time. Changes will be communicated in advance.
- Transfer of Membership: Memberships are non-transferable.
- No Refunds: All payments, including advance payments, are non-refundable under any circumstances.
- Guests and Visitors: Any members bringing friends, partners, or guests to train must ensure they purchase a drop-in pass in advance via WODBoard Drop-In Link https://shorturl.at/r9ido. Guests are not permitted to use the facility without a valid drop-in purchase.
- Damaged or Lost Articles: Two Tails CrossFit Witham assumes no responsibility for damaged, lost, or stolen articles. Found articles not claimed after 30 days will be donated to charity or otherwise disposed of.
