We are committed to fostering a positive and accommodating environment for all our members. To ensure fairness and smooth operations, we have established the following policies regarding class cancellations, memberships, and no-shows and more.
CLASS CANCELLATION POLICY
Cancellation Deadline: Members must cancel a booked class at least one hour before the scheduled start time to avoid being charged or losing their session.
• Early Morning Classes: For 6:30 AM classes, cancellations must be made before 10 PM the night before.
Class Booking:
Members are encouraged to book classes in advance through the WODBoard app. Classes can be booked up to one week in advance.
MEMBERSHIP TERMS: CANCELLATION & PAUSING
1. Pay Monthly Membership
Automatic Renewal Agreement:
• Automatic Renewal: Memberships automatically renew at the end of each monthly billing cycle.
• Billing Cycle: Membership is billed on the 1st of each month. When joining mid-month, the first payment will be pro-rated to cover the remainder of that month. Subsequent billing will follow the standard monthly schedule, with payments due on the 1st of each month.
• Payment Authorisation: You authorise us to charge the membership fee to your payment method on file.
• Updating Payment Information: It is the member's responsibility to keep payment information accurate and up-to-date.
2. Membership Pause
If you need to pause your membership, we offer holds in 1 or 2-month blocks at £25 per month, for up to 3 months per year.
• Pause Request: Submit the pause request form by the 25th of the month. Late requests will be processed after your next scheduled payment.
• Eligibility: Holds are available after completing 2 full months of membership.
• Pause Start Date: Mid-month pause requests will take effect on the 1st of the next month.
• Membership Extension: Your membership term will be extended by the length of the pause.
• Using the Gym During Pause: If you use the gym during the pause, your membership will be reactivated, and regular charges will resume.
• Cancellation During Pause: If you wish to cancel during the pause, a one-month written cancellation notice is required.
Example Pause Request:
If you request a pause on August 15th, the pause will begin on September 1st, with no charge for September. If you cancel during the pause, submit the cancellation by September 25th, and you will be charged for October, as a one-month notice is required.
3. Membership Cancellation
• Reactivation: If you reactivate your membership in the future, current rates at the time of reactivation will apply.
• Cancellation Notice: A one-month written cancellation notice is required. If a renewal payment falls within this period, it will still be processed.
• Early Cancellation: Cancelling before the end of a 6-month commitment requires a one-month notice and a termination fee equivalent to the remaining balance.
Example Cancellation Request:
If you sign up for a 6-month commitment at £85 per month and wish to cancel after 3 months, you must give a one-month notice. You will owe £40 for the fourth month, plus the one-month notice fee.
4. Rolling Contracts
• Renewal: Annual and six-month commitment memberships automatically renew unless a one-month written notice is provided.
• Late Cancellation: Cancellation requests submitted after the 25th of the fifth month will require an additional month’s payment before the cancellation is processed.
5. Upgrading/Downgrading Membership
Upgrades:
• Immediate Effect: Upgrades apply instantly. If mid-month, you pay a pro-rated difference.
Downgrades:
• Effective from 1st of the Month: Downgrades take effect on the 1st of the following month.
• Payment Difference: If you're in a 6-month agreement and downgrade after 3 months, you must pay the difference for each month used on the higher plan.
New Contract:
• A new contract term starts with any upgrade or downgrade.
6. Annual Membership
• Payment Terms: All payments are non-refundable.
• Cooling-Off Period: You have a 7-day cooling-off period from the purchase date, during which you can cancel and receive a full refund, provided the membership hasn’t been used.
• Post Cooling-Off Cancellation: After the cooling-off period, no refunds will be issued for any reason.
7. Additional Policies
• Changes to Policy: We reserve the right to amend this policy at any time. Changes will be communicated in advance.
• Transfer of Membership: Memberships are non-transferable.
DAMAGED OR LOST ARTICLES
Two Tails CrossFit Witham assumes no responsibility for damaged, lost, or stolen articles. Found articles not claimed after 30 days will be donated to charity or otherwise disposed of.
