These Terms & Conditions ("Agreement") apply to all members of CREW Fitness ("the Gym", "we", "us", "our"). By joining the Gym or through ongoing membership, you agree to abide by the terms set out below. We reserve the right to amend these terms with 14 days’ notice.
1. Liability Waiver and Release of Liability
1.1 Acknowledgement of Risk - I, the undersigned, fully understand that my participation in the activities, training programs, and events at CREW Fitness (hereinafter referred to as “the Gym”) involves strenuous physical activity, which may include, but is not limited to, weightlifting, running, high-intensity workouts, cardiovascular activities, and other physical exercises. I recognize that these activities may involve inherent risks, including, but not limited to, physical injury, muscle strain, sprains, dislocations, fractures, heart attacks, or other unforeseen incidents.
1.2 Assumption of Risk - I voluntarily agree to participate in activities at the Gym and fully assume the risk of any injury, illness, damage, or loss that I may suffer as a result of my participation. I confirm that I am physically fit and have sought the advice of a physician regarding my ability to safely engage in such physical activities if necessary.
1.3 Release of Liability - I, for myself, my heirs, executors, administrators, and assigns, do hereby waive, release, and forever discharge CREW Fitness, its owners, directors, officers, employees, trainers, agents, representatives, successors, and assigns from any and all claims, demands, damages, rights of action, or causes of action, present or future, whether known or unknown, arising from or connected with my participation in any of the activities at the Gym or any use of its facilities.
1.4 Indemnification - I agree to indemnify and hold harmless the Gym, its owners, directors, officers, employees, and agents from any liability, claims, actions, or damages (including attorney’s fees) resulting from my actions during or related to my participation in activities at the Gym.
1.5 Medical Treatment - I authorize the Gym to act in any medical emergency involving me, including arranging for transportation to a medical facility or contacting emergency services. I agree that I am solely responsible for all medical costs incurred as a result of any injury or illness sustained at the Gym.
1.6 Severability - I agree that if any portion of this waiver is found to be unenforceable, the remaining portions shall remain in full force and effect.
1.7 Governing Law - This waiver and release shall be governed by and interpreted in accordance with the laws of England and Wales.
2. Membership & Payments
2.1 All membership queries and requests must be submitted in writing to info@crew.fitness.
2.2 All memberships are paid in advance via standing order.
2.3 Your membership will automatically renew in accordance with the type of membership held:
o Monthly Memberships: Billed every month on a recurring basis from date of purchase, until cancelled.
o 6-Month Memberships: Billed every 6 months on a recurring basis from date of purchase, until cancelled.
o 12-Month Memberships: Billed every 12 months on a recurring basis from date of purchase, until cancelled.
2.4 Members must provide a minimum of 1 full month’s notice to cancel or downgrade membership, with no pro-rata refunds or adjustments being made for partial months/periods when notice is given mid-month.
2.5 Membership can be upgraded on request with immediate effect.
2.6 Late or missed payments may result in a £10 admin charge and suspension of access until payment is received, to account for administrative time lost in resolving.
2.7 We reserve the right to increase membership fees with a minimum of 30 days' notice.
2.8 We reserve the right to cancel a membership for breach of terms or at our discretion with appropriate refund or notice.
3. Pausing Memberships
3.1 You must have completed a minimum of 3 full months of active membership to be eligible for a pause.
3.2 Up to 2 periods of paused membership may be granted in any 12 month period.
3.3 You may request a pause/freeze of your membership for medical, extended travel (4 weeks+), or personal reasons
o Eligible reasons: bereavement, temporary work relocation, or family emergencies.
o Not eligible: short-term schedule changes, lack of motivation, or minor illnesses.
3.4 Minimum freeze period: 2 weeks. Maximum: 8 weeks.
3.5 Requests must be submitted in writing with at least 7 days' notice.
3.6 Pauses are reviewed on a case-by-case basis and granted at the discretion of management and cannot be backdated.
4. Class Booking & Attendance
4.1 All Classes and Open Gym use must be booked via our app or booking system.
4.2 If you cannot attend a booked class, please cancel at least 2 hours in advance to allow someone else to take your place, or prior to 9pm the previous night, for classes starting before 8am the next day.
4.3 Repeated no-shows or late cancellations of 5+ in a rolling 30-day period, may result in a 7-day booking restriction. This is to ensure fairness to all members and to avoid empty spaces in high-demand classes.
5. Opening Hours & Schedule Changes
5.1 CREW Fitness reserves the right to alter opening hours, class times, and the timetable.
5.2 We may temporarily close or reduce operations for maintenance, holidays, events, or emergencies with reasonable notice.
5.3 No refunds or reductions will be issued for temporary changes where access is still generally available.
6. Gym Rules & Code of Conduct
6.1 Members must treat staff, coaches, and fellow members with respect and courtesy.
6.2 Discrimination, harassment, aggressive behavior, or abuse will result in immediate termination of membership.
6.3 Members must follow all safety instructions, warm-ups, and coach directions during sessions.
6.4 Members must handle equipment with due care and attention, inclusive but not limited to:
o Never drop free weights (dumbbells, kettlebells, plates) from any height.
o Never drop barbells from any height, unless a minimum of 10kg (single plates) on each side.
o Support barbells and push weights off when unloading. Do not pull weights off and allow barbells to crash on the floor.
o Feet may only come into contact with walls where Handstand Push-Up boards have been provided.
6.5 Members must assist with maintaining high levels of cleanliness and hygiene, inclusive but not limited to:
o Wiping down equipment after use with antibacterial spray provided and return to proper storage location.
o Leave toilets in a clean condition after use, being respectful to the next user.
o Do not use excessive chalk, keeping chalk inside the buckets and dusting off hands inside the bucket.
o No food is to be taken onto the gym floor.
6.6 We reserve the right to refuse entry or remove any member who breaches this code.
7. Personal Belongings & Liability
7.1 Members are responsible for their own belongings.
7.2 CREW Fitness do not accept liability for lost, stolen, or damaged items.
7.3 Any property left behind will be held in lost property for 14 days before disposal.
8. Photography & Media
8.1 We may take photographs or videos during sessions or events for use on our website, social media, and promotional materials.
8.2 By joining the Gym, you consent to appearing in such content unless you inform us in writing that you do not wish to be featured.
9. Data Protection (GDPR)
9.1 We collect and store your data securely in line with UK GDPR regulations.
9.2 Your data will never be sold or shared with third parties without your consent, except where legally required.
9.3 You may request access to, correction of, or deletion of your personal data at any time.
10. Disputes & Complaints
10.1 Any concerns or complaints should be submitted in writing to management at: info@crew.fitness.
10.2 We aim to resolve disputes fairly and within 14 days.
10.3 If resolution cannot be reached internally, members may escalate to an independent mediation service.
11. Other Important Information
11.1 You must be aged 16 or over to hold a standard membership (under 18s require parental consent).
11.2 Any changes to these Terms & Conditions will be communicated via email and included within your account area of our booking service provider.
