HERO-X Waiver
In consideration of being allowed to participate in the activities and programmes at HERO-X and to use the facilities and equipment owned and/or under the control of HERO-X , in addition to the payment of any fee or charge, I do hereby waiver, release and forever discharge HERO-X from any responsibility or liability for injuries or damages resulting from my participation in any activities or my use of equipment or facilities in the above mentioned activities (whether at home, at the training studio, outdoors, or at a corporate, commercial, residential or other fitness facility).
I understand and I am aware that strength, flexibility and aerobic exercise, including the use of equipment, both outside and inside, are potentially hazardous activities. I also understand that exercise and fitness activities involve a risk of injury and even death, and I am voluntarily participating in these activities and using equipment and facilities with the knowledge of the dangers involved. I hereby agree to expressly assume all and any risks of injury or death.
I do hereby declare myself physically able and suffering from no condition, impairment, disease or infirmity or other illness (other than those declared on the attached medical questionnaire) that would prevent my participation or use of equipment or facilities except as herein stated. I acknowledge that I have either had a physical examination and have been given my doctors permission to participate, or that I have decided to participate in activity and use of equipment and machinery without the approval of my doctor and do hereby assume all responsibility for my participation and activities, and utilisation of equipment and machinery in my activities.
I understand that I am not obliged to perform or participate in any activity that I do not wish to do, and that it is my right to refuse such participation at any time during my training sessions. I understand that should I feel lightheaded, faint, dizzy, nauseated, or experience pain or discomfort, I am to stop the activity and inform my trainer.
I understand that the results of any fitness programme cannot be guaranteed, and my progress depends on my efforts in and outside of the sessions.
I understand that during a training session, my trainer may have to use Touch Training to correct alignment and/ or focus my concentration on a particular muscle area to be targeted. If I feel uncomfortable or experience any type of discomfort with Touch Training, I will immediately request that my trainer discontinue using this technique.
I understand that HERO-X may photograph and/or film their client sessions and I agree to allow them to use these pictures, films, and/or likenesses of me for promotional purposes. In the event I choose not to allow the use of the same for said purpose, I agree that I must inform HERO-X of this in writing.
I understand that HERO-X uses a CCTV cameras, including audio recording for monitoring and security purposes.
I understand that the usage of any nutritional supplements is done under my own will.
In addition, HERO-X cannot accept any responsibility for any valuables that may be lost, damaged or stolen whilst at HERO-X .
I have read and understand the statements of this legal document. I understand that this document is complete unto itself and that any oral promises or representations made to me concerning this document and/or its terms and conditions are not binding upon HERO-X , its officers, agents and/or employees. I have voluntarily signed it and execute it voluntarily with full knowledge of its meaning, its significance and implications
HERO-X Terms and Conditions January 2026
1. Memberships
Term Memberships: Your first month at HERO-X is pro-rated; contingent upon when this agreement is initiated relative to the first of each month. Monthly fees are only prorated once, upon initial enrolment with HERO-X. All other payments will take place on the 1st of the month.
Term Membership Payments: All term memberships and guest fees are collected via card payment from either a debit card or credit card. By providing your debit card or credit card information you allow HERO-X to automatically withdraw fees as they come due on the 1st of the month.
Membership fees are fixed by HERO-X and we reserved the right to change these at any time. Members will be notified (via email or notification in WODBoard) of any changes in the fees at least 30 days prior to the date of the alteration.
Unlimited memberships are subject to a maximum of 4 sessions per day including classes, open gym sessions and Hyrox simulations. This membership also includes free or discounted workshops, special events and additional ‘Focus’ programming.
X12 memberships allow members to book a maximum of 12 sessions per month including classes, open gym sessions and Hyrox simulations.
Open Gym only memberships are offered purely at the discretion of HERO-X and we reserve the right to withdraw these at any time.
Youngstars memberships allow bookings according to the age limit of the Kids and Teens classes and Family Fun Sessions.
2. Late Payment/Declined Credit Card Fees
A £5 late payment fee will be due and payable for payments received past the 5th of the month. A declined credit card/debit card will result in a fee of £5. Membership fees must be paid on the first day of the month. Members who are not current will not be allowed to participate in classes after the 5th of the month.
3. Induction Courses
All new members, regardless of skill level or previous training experience, are required to complete a one-off 90-minute HERO-X Induction before attending classes or using the facilities, for safety reasons.
The Hero-X Induction is designed to introduce members to the ins and outs of Hero-X, including how the facility operates, how to get the most from their membership, and how to train safely and effectively within the Hero-X environment. The induction ensures that every member, irrespective of experience, is supported by an experienced coach, leaves having learned something new, and understands the next best steps for their individual journey.
Purchase of the Hero-X Induction as part of the Introduction to Hero-X membership is non-refundable other than within 3 days of purchase. Members must give no less than 24 hours’ notice if they are unable to attend a scheduled induction appointment; failure to do so will result in a late cancellation fee of £10.
New members have three consecutive calendar days (72 hours) after purchasing a Hero-X Induction to cancel without penalty. If the agreement is cancelled within this period, Hero-X will return to the member within thirty days all amounts paid. If the induction is purchased within 72 hours of the scheduled induction date, no refund will be issued. Intent to cancel must be emailed to info@hero-x.co.uk.
4. Availability of Facility
Members may use the facilities only during scheduled classes, scheduled events or by appointment. Operating hours and current class schedules are listed on our website at www.hero-x.co.uk and WODboard. HERO-X reserves the right to change operating hours and/or class schedules at its sole discretion without any effect to this agreement. HERO-X endeavours to give members at least 30 days notice with regards to any changes.
Members or visiting the HERO-X facilities agree that class sessions will always take priority over use of the facilities. Members booked into an Open Gym session must book the zone that they wish to use and remain in said zone.
Limited Availability HERO-X may close its facility for seminars, certifications, maintenance, selected holidays and other hours based on requirements. HERO-X may delete, change, discontinue, repair or replace any part or all of the facility without any effect on this Agreement. HERO-X endeavours to give members at least 30 days notice with regards to any changes wherever possible.
Limited Use: If you know or should know you have a problem that might prevent you from using HERO-X (i.e. medical or family emergency, business travel, vacation, etc.) and you sign this agreement; you agree that your membership is limited accordingly. However, because this is your choice, you still must pay your monthly fees in full as if you could use the facility; there will be no carry-over of monthly fees into subsequent months for any time unspent using the facility in a previous month. 5. Class Bookings
Members must book into classes or open gym using Wodboard. Members are required to cancel any class/open gym they are booked into no less than 2 hours before the start, or before 8pm the previous evening for any morning classes before 8am. If a member cancels within this period or does not attend for any reasons whatsoever, they will forfeit the session.
Members are not permitted to use the Gym Floor unless booked onto a session. Should the member use the facilities without prior booking, a HERO-X coach will book them onto the session according to their membership allowance, ask them pay for a drop-in session or ask them to leave.
Members wishing to use an Open Gym session must book the session in the zone that they wish to use and be courteous of other members using the space and equipment. Members are not permitted to move equipment, use multiple zones and should note that any classes will take priority over the space.
Should a class and open gym be allocated to the same space at the same time, the class will take priority and the coach leading the class will confirm an appropriate space for open Gym.
6. Class Attendances
If a member has booked a class/open gym but does not attend then the coach will apply a ‘no show’ to the system and the member will lose that session as part of their monthly allowance.
If a member is late to class (up to a limit of 10 minutes) they must check in with the coach leading the session without disrupting the class. The member will not be allowed to take part in the class until they have completed the programmed warm up.
If a member is more than 10 minutes late, they will not be allowed to join the class, marked as a ‘No Show’ and will forfeit that session.
7. Cancellation of Membership by Member
A member may cancel their membership with 1 full calendar months’ notice on the 1st of the month by sending an email to info@hero-x.co.uk. No other contact method will be accepted. Please be reminded that partial months are not permitted. If cancellation is made on or after the 2nd of any month, then a full payment will still be due the following month on the 1st. There are no refunds for membership fees.
A member may upgrade their membership at any point by emailing the staff at info@hero-x.co.uk, and their membership will take effect immediately, or as requested by the member.
A member may downgrade their membership with 1 month’s notice on the 1st of the month by sending an email to info@hero-x.co.uk. No other contact method will be accepted. Downgrade will take effect on the first date of the next billing cycle.
8. Membership Freeze Policy (Medical)
If a member has a medical condition which prevents them from training temporarily, they may freeze their membership for a maximum of 12 months. We will require proof of the medical condition (such as a doctor’s certificate) and will freeze the membership upon receipt of doctor's certificate or other proof.
9. Membership Freeze Policy (Non-Medical)
Unlimited members may request to freeze their membership once within any rolling 12-month period, subject to the following conditions:
(a) Memberships may be frozen for a minimum of one (1) full calendar month and a maximum of six (6) months.
(b) All freezes must commence on the 1st day of a calendar month.
(c) A freeze charge of £10.00 per month will apply for the duration of the freeze. This charge contributes towards administrative and system costs and allows the member to retain their existing Unlimited Membership package and pricing (subject to scheduled price increases as notified.)
(d) Freeze requests must be submitted no later than the 20th of the month in order to take effect from the 1st of the following month.
(e) During the freeze period, membership access and benefits will be suspended.
(f) Where a member is within a minimum term agreement or prepaid period, the membership term will be extended by the length of the freeze.
This policy applies only to Unlimited memberships and is separate from Hero-X’s Medical Membership Freeze Policy, which is governed by different terms.
Memberships cannot be cancelled while on freeze.
Any notice to cancel must be submitted once the membership is active and will be charged at the member’s standard monthly rate during the notice period.
If a member wishes to end their membership freeze earlier than originally agreed, they should contact the Hero-X team to discuss reactivating the membership. Early reactivation is subject to approval and administrative processing.
10. Lost Property HERO-X assumes no responsibility for lost or stolen articles. Lost and found articles not claimed after 30 days will be donated to charity or thrown away.
11. Smoking, Alcohol, Food and Drink
No smoking is allowed in any part of the facility. Members should not use the facilities whilst under the influence of alcohol or drugs. Food or drink may be taken into the facilities if it is in a non-breakable, enclosed container. Only food and drink purchased from HERO-X may be heated and/or refrigerated on site.
12. Supervision of children
Members must be 16 years of age or older unless supervised by a parent or legal guardian at all times, or enrolled in our Youngstars program where directly under the immediate supervision of a HERO-X member of the coaching staff.

13. Conduct
HERO-X is committed to the health, safety, welfare of each of its members and staff and will not tolerate unreasonable, threatening, obscene, harassing, indecent or illegal behaviour. HERO-X has the right to judge behaviour and respond accordingly. This right included, but is not limited to, termination of membership without refund of any member engaging in unacceptable behaviour.
14. Damages
Members shall pay for any damage to HERO-X property which results from the wilful or negligent conduct of member, member’s guest or dependent children.
15. Rules and/or Regulations
Members who do not observe HERO-X rules and regulations or who abuse equipment in any fashion will be asked to leave. The management reserves the right to terminate membership of anyone who refuses to observe any of HERO-X ‘s rules or regulations. Not all rules and regulations are listed in this agreement. HERO-X reserves the right to add, change or remove rules, conditions of memberships, opening and closing hours, and all services and facilities offered by HERO-X.
16. Miscellaneous
These terms and conditions supersede any prior written or oral agreements between them concerning the subject matter of this agreement. The provisions of this may be waived, altered, amended or repealed, in whole or in part, only upon prior written consent of all parties.
