GENERAL TERMS & CONDITIONS
• Session Duration: All sessions run 30–55 minutes.
• Age Requirement: All sessions are 18+, unless otherwise stated (e.g., CrossFit Kids).
• Pricing: All prices are inclusive of VAT.
• Refunds & Extensions: No refunds or extensions are permitted on any product. No exceptions.
• Credit Expiry: Unused credits cannot be rolled over beyond their designated week/month.
• Payments: Monthly fees are collected via direct debit on the sign-up date each month.
• Cancellations: A strict 24-hour cancellation policy applies. Sessions cancelled late will be charged in full and cannot be rescheduled within that month (or validity period).
• Package Validity: Packages cannot be paused or extended beyond their validity period.
• Failed Payments: If a payment fails, the card on file will be recharged. If still unsuccessful, your package will be suspended until payment is received.
• Late Cancellation Penalties: We reserve the right to apply additional penalties for late cancellations on unlimited SPPT, classes and all services.
• Policy Changes: Fit & Food reserves the right to update terms, adjust fees, alter notice periods, and modify contract handling at any time.
• Dress Code: Proper workout clothing and closed-toe shoes must be worn at all times.
• Liability: Members use equipment and facilities at their own risk. Fit & Food is not liable for injuries, accidents, or misuse of equipment.
HEALTH & SAFETY
• Members are responsible for their own health, medical clearance, and awareness of emergency procedures.
• A PAR-Q and medical questionnaire must be completed before using the gym—no exceptions.
MEMBERSHIP PACKAGES
No Ties
- Flexible, month-to-month membership.
- Requires 7 days’ notice to stop automatic renewal.
6-Month Commitment Packages
- Monthly Payments: A 2-week holiday grace period is allowed. Written notice via email or WodBoard must be provided at least 4 weeks in advance. Payment schedules will be adjusted.
- Upfront Payment: No adjustments are needed; the 2-week grace period is already included.
Annual Commitment Packages
- Monthly Payments: A 4-week holiday grace period is allowed. Written notice via email or WodBoard must be provided at least 4 weeks in advance. Payment schedules will be adjusted.
- Upfront Payment: No adjustments are needed; the 4-week grace period is already included.
Bespoke Step-In Packages
- Standard 24-hour cancellation/change policy applies.
- If canceled more than 24 hours in advance, the session may be rebooked within the same week only.
- If part of a 6- or 12-month package, the relevant package terms apply.
CANCELLATION POLICY FOR HEALTH ISSUES OR INJURY
Medical Cancellation
- Memberships may be cancelled only for serious medical conditions or injuries that permanently prevent gym use.
- A written request plus a doctor’s letter/medical certificate is required, confirming inability to exercise.
- Fit & Food reserves the right to verify documentation and request additional proof.
- Temporary Suspension / Freeze
- Memberships may be frozen (not cancelled) if recovery is expected.
Maximum freeze duration:
- Up to 2 months within a 12-month contract.
- Up to 1 month within a 6-month contract.
- Not available for month-to-month memberships.
- Requests must include medical documentation and are subject to approval.
Refunds & Payments
- Membership fees are non-refundable.
- If cancellation is approved for medical reasons:
- No cash refund will be issued.
- Any unused prepaid membership may be converted into a credit, either for the member upon recovery or transferred to another person (management approval required).
Return to Training
- Rejoining after cancellation or freeze is subject to current membership rates. Previous pricing cannot be guaranteed.
Exceptions & Discretion
- All medical-related cancellations/suspensions are at management’s sole discretion and are final.
MEMEBERSHIP FEES & PRICE ADJUSMENTS
- Fit & Food may review and adjust fees in line with costs, market conditions, and service improvements.
- Members will receive at least 30 days’ notice of any changes.
- Adjusted fees apply to all members, including those on recurring payment plans, from the next billing cycle.
- Continued use of facilities after the effective date implies acceptance of the new fees.
- Members who do not accept the new pricing may cancel under the standard cancellation policy.
CODE OF CONDUCT
- Members must maintain respectful behaviour - no harassment, abuse, or misconduct.
- Respect toward staff and fellow members is required at all times.
- Breaches may result in disciplinary action, including suspension or termination of membership.
PERSONAL BELONGINGS
- Fit & Food is not responsible for lost, stolen, or damaged items.
- Members bring personal valuables at their own risk.
LIABILITY WAIVER
- Members accept full responsibility for their participation.
- Fit & Food is not liable for injuries, accidents, or equipment misuse.
CHILDREN IN GYM
Children/ Babies are not permitted in training areas unless part of a supervised designated kids’ program or Strong Mamas class
CLOSURE
• The Company may at any time close the Club’s premises or any part thereof, without notice, in order to; execute repairs, alterations, accommodate external events, re-decorations or otherwise, to facilitate studio programmes or on certain holidays.
• Only members of staff may provide personal training services within the studio.
• An instructor may refuse entry if a Member arrives later than the start time, or may ask any Member to leave a class if they feel theirs, or another’s, safety or enjoyment is in jeopardy.
CCTV
• For the safety and security of staff and members, closed circuit cameras (including audio in some concierge areas) operate throughout the studios(except in the male and female changing rooms/shower areas). (see our Privacy Notice for more information).
• Any unlawful activity within the studios may be reviewed for possible legal action.
WAIVER & RELEASE OF LIABILITY
Express Assumption of Risk:
I am aware that there are risks involved in all aspects of physical training. I understand that the reaction of the heart, lungs and vascular system to exercise cannot always be predicted with accuracy. I understand that there is a risk of certain abnormal changes occurring during or following exercise which may include abnormalities of blood pressure or heart rate; chest, arm or leg discomfort; transient light-headedness or fainting; and in rare instances, heart attack, stroke or even death. Excessive work can result (in rare cases) in exertional rhabdomyolysis. I should look for signs of excessive soreness, darkened urine, and pain in the kidney area in the days following a particularly intense workout. While this type of injury is relatively rare, it can occur due to a number of reasons, including genetic predisposition or dehydration, that may be beyond the control of the trainer. I understand that the PT, SPPT, programs and classes offered by Fit & Food are of a nature and
kind that can be extremely strenuous and can/may push me to the limits of my physical abilities. These risks include, but are not limited to; falls which can result in serious injury or death, injury or death due to negligence on the part of myself, my training
partner, or other people around me, injury or death due to improper use or failure of equipment. I am aware that any of these above mentioned risks may result in serious injury or death to myself and or my partner(s). I willingly assume full responsibility for the risks that I am exposing myself to and accept full responsibility for any injury or death that may result from participation in any activity or class while at, or under direction of
Fit & Food. I acknowledge that I have no physical impairments, injuries, or illnesses that will endanger me or others.
Waiver - Photography/Video Release
Participants involved in any activities offered by Fit & Food may be photographed or videotaped during training. The undersigned hereby consents to the use of these photographs and/or videos without compensation, on the Fit & Food website or in any editorial, promotional or advertising material produced and/or published by Fit & Food.
Waiver - Indemnification
The participant recognizes that there is risk involved in the types of activities offered by Fit & Food. Therefore the participant accepts financial responsibility for any injury that the participant may cause either to him/herself or to any other participant due to his/her negligence. Should the above mentioned parties, or anyone acting on their behalf, be
required to incur attorney’s fees and costs to enforce this agreement, I agree to reimburse them for such fees and costs. I further agree to indemnify and hold harmless Fit & Food, their principals, agents, employees, and volunteers from liability for the injury or death of any person(s) and damage to property that may result from my negligent or intentional act or omission while participating in activities offered by Fit & Food, at the main building or abroad. This includes but is not limited to parks, recreational areas, playgrounds, areas adjacent to main building, and/or any area selected for training by Fit & Food.
Waiver - Release
In consideration of the above mentioned risks and hazards and in consideration of the fact that I am willingly and voluntarily participating in the activities offered by Fit & Food, I, the undersigned hereby release Fit & Food, their principals, agents, employees, and volunteers from any and all liability, claims, demands, actions or rights of action,
which are related to, arise out of, or are in any way connected with my participation in this activity, including those allegedly attributed to the negligent acts or omissions of the above mentioned parties. This agreement shall be binding upon me, my
successors, representatives, heirs, executors, assigns, or transferees. If any portion of this agreement is held invalid, I agree that the remainder of the agreement shall remain in full legal force and effect.
This form is mandatory for all clients to complete prior to their first training session with Fit & Food.
